For businesses whose customers message on WhatsApp
Reminders, confirmations and replies on WhatsApp, sent without anyone typing them
If your customers already message you on WhatsApp, that is where they'll read a reminder. We set up automated WhatsApp messages for the routine work: booking confirmations, session reminders, renewal nudges and instant replies to common questions. Your team can step into any conversation that needs a person.
What you get
What’s included
WhatsApp Business setup
We set up or connect your WhatsApp Business account for automated messaging and submit your message templates to Meta for approval.
Booking confirmations
Sent when someone books, with the time, location and anything they should bring.
Scheduled reminders
Reminders before classes, appointments and sessions, plus renewal or expiring-pack reminders, on the timing you choose.
Automated replies
Instant answers to routine questions like hours, location, prices and how to book. Anything outside that list is flagged for your team.
Opt-in and opt-out handling
Customers agree to receive messages and can stop them with a reply. WhatsApp requires this, and it protects your number's standing.
Human takeover
Your team can see conversations and reply personally whenever a message needs it.
A good fit if
- Gyms, studios and spas whose members already message on WhatsApp
- Coaches who send the same session confirmations and check-in reminders every week
- Businesses losing bookings to no-shows that a reminder could have prevented
- Teams that want reminders and quick replies without paying for a full AI agent
Not included
- Missed-call text-back and full AI booking conversations, which the AI receptionist covers.
- Bulk promotional broadcasts to people who haven't opted in.
- Health, nutrition or injury advice in automated replies.
How it runs
From kickoff to handover
- Step 1
List the messages you send by hand
We go through every confirmation, reminder and reply your team types today, who receives it, and when.
- Step 2
Account and templates
We connect your WhatsApp Business account, write the templates in your tone, and submit them to Meta for approval.
- Step 3
Connect the triggers
We link the messages to real events in your booking system or calendar and test every one on our own phones and yours.
- Step 4
Go live and adjust
Messages start going out. In the first week we check delivery and replies and adjust wording or timing where needed.
Questions
Questions about WhatsApp automation
Can we keep our current WhatsApp number?
It depends on how the number is set up today. Some numbers can be connected as they are, and others need moving onto WhatsApp's business platform, which can change how you use the app on your phone. We check this first and explain the trade-off before anything changes.
Why do the messages need Meta's approval?
WhatsApp only lets a business start a conversation with a pre-approved message template, so reminders and confirmations go through review. Replies to a customer who messaged you recently don't need one. We write templates that pass review and still sound like you.
How is this different from the AI receptionist?
WhatsApp automation sends the messages you would otherwise type yourself: confirmations, reminders and routine replies. The AI receptionist holds a full conversation, answers open questions and books people in over SMS and WhatsApp, starting from a missed call. You can start here and add the receptionist later.
What is the monthly fee for?
It's $199 a month after setup. Schedules, prices and offers change, and templates need rewriting and re-approving when they do. The monthly plan covers that work and checks that messages keep getting delivered.
Does WhatsApp charge for these messages?
Meta charges businesses for some types of message, and the rate depends on the message type and the customer's country. We estimate what your volume would cost before launch so the bill isn't a surprise.
Will customers feel spammed?
Only people who agreed to hear from you get messages, and anyone can opt out with a reply. We also cap reminders so a single booking doesn't trigger a string of messages.
