What the total-cost number doesn’t say on its own
A break-even month is the start of the decision, not the end of it. Four things worth weighing alongside the number above.
Locations and staff both change the shape of the build
One location is a bounded booking-and-front-desk MVP. More than one moves the floor to a full platform, because staff schedules, packages, deposits and reporting have to reconcile across sites rather than live in one calendar.
Per-staff fees compound as you hire
A platform priced per staff member gets more expensive every time you add a provider, which is exactly when your business is growing fastest. This calculator projects that out over years rather than showing one month, because that's when the gap becomes visible.
Ownership has a real cost too
A custom platform means you carry the maintenance, the security patching and the decision to add every future feature yourself, or under a retainer. That is not free, and this calculator prices it in rather than pretending owning software is a one-time cost.
Renting is often the right call
If you're a single location still filling the calendar, a $30–$176/mo platform is very likely cheaper and lower-risk than a build. This tool exists to show you the crossover, not to talk everyone into building.
Methodology
Exactly how the break-even month is calculated
The build side is arithmetic: the published floor for your location count, plus any add-ons you selected, plus our $1,000/mo maintenance retainer running for every month of the window you picked. One location prices from the $12,000 MVP floor; more than one prices from the $25,000 full-platform floor, the same tier break used on the equivalent gym-software build — a med spa’s booking, staff-scheduling and front-desk problem is the same shape of software.
The rental side multiplies the vendor’s own published monthly price by your location count where the vendor prices per location, adds a per-staff charge where one applies, and leaves it flat where it doesn’t. All three numbers were read from Boulevard, Mangomint and Vagaro’s own pricing pages on 8 Sep 2026 and are dated for exactly that reason: vendor pricing changes without notice, and a number frozen from months ago is worse than an honestly dated one.
The break-even month solves for where the two lines cross: the point at which the rental total, still accruing every month, exceeds the one-time build cost plus the maintenance that has run since. If your rental bill is at or below what our own maintenance retainer costs on its own, the lines never cross, and the calculator says so rather than showing a number that doesn’t mean anything.
The unprofitable advice: if you are one location and still filling the calendar, renting is very likely the right call — do not let a sales conversation talk you into a build you will not clear the cost of for years. This tool exists to show you the real crossover, including the times it says “not yet.”

Is it actually cheaper to build custom med spa software?

Every number on this page is read directly from a vendor's own public pricing page, and we're not willing to invent a figure for the ones that gate it behind a demo call. What does a SaaS platform give you that a custom build doesn't?
Continuous feature updates you don't pay for individually, a support team, and no engineering risk if something breaks on a Saturday booking rush. For a single location still building its client base, that trade is usually the right one. Custom software makes sense once per-location and per-staff fees start compounding across sites, or once you're paying for a platform's booking and payments engine but building your own automation around its edges anyway.
