Pilates Studio Software: What Reformer Studios Need in 2026

Pilates studio software for reformer studios: spot booking, apparatus privates, waitlists, late-cancel fees and intro offers, plus how to compare platforms.

A reformer class usually has somewhere between eight and twelve machines, and every one of them is revenue. That makes Pilates studio software a different buying decision from gym software, where a class of 30 can absorb a few no-shows. When a reformer sits empty because a client cancelled at 6:40am and the waitlist never heard about it, you've lost a meaningful slice of that class's income.

This guide covers what Pilates studio software has to do well, which platforms Pilates owners commonly shortlist, and how to test them in a demo. Zee Palm doesn't sell booking software. We work with studios on the layer around it (websites, front-desk automation, intro-offer funnels, instructor training), so we have no stake in which platform you pick.

What a reformer studio needs that a gym doesn't

Spot booking for specific machines

Many Pilates clients have a favourite reformer, and some studios run mixed rooms where a few machines have a jump board or a tower attached. Spot booking lets clients pick a specific machine from a floor plan when they book. Mariana Tek calls its version Pick-a-Spot and lets studios build custom floor plans for reformers, towers or mats. Mindbody also offers a Pick-a-Spot feature, zingfit has Spot Scheduling, and bsport lists spot selection among its Pilates features.

Spot booking isn't universal, and vendor marketing pages don't always say how it handles a machine taken out of service mid-week. If you assign individual machines, make the demo show it.

Privates and duets on the right apparatus

Private sessions on the Cadillac, chair or barrels need two resources at once: an instructor and a piece of equipment. If two instructors both book the only Cadillac at 10am, someone has a bad morning. Ask whether the software can tie an appointment type to a specific apparatus and block it, or whether it only books the instructor.

Waitlists that fill the spot automatically

With ten spots, a fast waitlist matters more than it does in a big class. Look for automatic promotion, where the next person on the list is added and notified as soon as a spot opens. Mindbody offers two modes: auto-promotion in join order, and a "First to Claim" option that texts everyone on the waitlist and gives the spot to whoever responds first (that one needs Mindbody's two-way SMS).

Check how promotion interacts with your late-cancel window. If a client is promoted from the waitlist ten minutes before class and can't make it, a strict late-cancel fee will feel unfair to them. Many studios stop automatic promotion a set time before class for this reason.

Late-cancel and no-show fees that charge themselves

A late-cancel policy only works if the software enforces it: a stated window, a card on file and an automatic fee or lost credit. Ask whether fees can differ by class type (reformer vs mat), whether staff can waive one with a note, and whether the client sees the policy at the moment they book.

Class packs, memberships and intro offers

Pilates studios usually sell some mix of drop-ins, class packs with expiry dates, unlimited or capped memberships, and an intro offer. The software has to handle pack expiry, freezes, pack sharing between family members if you allow it, and restrictions such as "intro offer is valid for reformer classes only."

The intro offer deserves extra attention because it's where most new members come from. The software should be able to tag intro clients, show instructors who's new before class, and trigger a follow-up sequence before the intro period ends.

Instructor pay and substitutions

Per-class rates, different rates for privates, bonuses per head, and sub requests between instructors all live in the software or in a spreadsheet next to it. If your bookkeeper rebuilds payroll by hand every fortnight, ask to see the payroll report with your real pay structure.

We cover the wider market, including gym-focused platforms, in Mindbody alternatives.

A few practical notes:

  • If discovery matters, Mindbody's marketplace can bring in first-time clients, especially for a new studio in a dense city. Look at how many of those clients convert to memberships before you count on it.
  • If the branded app matters, Glofox makes it central, while Arketa and WellnessLiving put it in higher tiers or charge extra for it. Ask for the price in writing.
  • If you run teacher trainings or workshops, check how each platform sells multi-session courses with payment plans. Momence puts courses and workshops on the same calendar as classes.

Seven questions for every demo

  1. Show me a client booking a specific reformer, and what happens when that reformer is out of service.
  2. Show me a private on the Cadillac being blocked so a second instructor can't book it.
  3. A spot opens 30 minutes before class. What happens to the waitlist, and when does auto-promotion stop?
  4. A client cancels inside the late-cancel window. What is charged, when, and can staff waive it with a note?
  5. Show me an intro offer that's restricted to reformer classes and expires after 14 days.
  6. What is your card processing rate, including any platform fee on top?
  7. If I leave, what does a full data export contain, and how do stored cards move to another processor?

The last two questions matter most for cost. Card processing often costs more over a year than the subscription itself, and card migration is the hardest part of ever switching. Our gym software cost calculator adds up the full monthly cost once you have the numbers.

Mobile apps: marketplace, generic or branded

Clients will book on their phones, so the app is part of the decision. There are three versions:

  • The vendor's consumer app, where your studio appears next to others. Good for discovery, but your brand is one listing among many.
  • A generic studio app from the vendor with your schedule inside it.
  • A branded app with your name and logo in the app store, built and maintained by the vendor on a higher tier or as an add-on.

A branded app matters more to some studios than others. If your clients book through Instagram links and your website anyway, a fast mobile booking page may do more than an app. If you sell on-demand classes, run challenges or want push notifications under your own name, a branded app earns its place. The member app guide covers the costs of each route.

Where the software stops and the studio starts

Good software will fill a spot from the waitlist and charge a late-cancel fee. It can't make a nervous first-timer feel welcome, and it won't call the client who has quietly gone from three classes a week to none.

The studios that convert intro clients well usually connect the software to a few habits:

  • Instructors see who's new before class starts, so they can greet them by name and set up their machine.
  • The second booking gets suggested while the first class is still fresh, instead of being left to the client.
  • The membership offer arrives before the intro period ends.
  • An attendance-drop report flags members whose visits are falling while they can still be won back. Our retention calculator shows what a few points of churn are worth to you.

Instructor consistency matters too, and it's an area software rarely covers. We built a UK Pilates studio a virtual course with quizzes for onboarding new trainers, and it cut the time it took to train them by 60%. Clients notice when every instructor cues the same way and follows the same safety standards.

Most of these sit outside the booking platform. Our Pilates and yoga studio page lists fixed-price packages for them, including an AI receptionist from $1,499 that answers calls and messages while your instructors are mid-class.

Should a Pilates studio build its own software?

Almost never for booking. The established platforms have years of edge cases built into scheduling, packs and payments, and rebuilding that costs a lot and leaves you behind where you started. A custom build makes sense in narrow cases: you run a method with its own progression that you plan to license to other studios, you need a specific integration no platform offers, or you have several locations with rules no platform can model. We cover the test in build vs buy for gym software.

How to choose in two weeks

  1. List what you sell: classes, privates, duets, workshops, trainings, on-demand.
  2. Decide whether you need spot booking and apparatus blocking. If yes, shortlist only platforms that can show both.
  3. Pick three platforms and run the seven questions in each demo.
  4. Get processing rates, add-ons and contract terms in writing.
  5. Compare total monthly cost, including your current platform.
  6. If you're switching, read the migration section of Mindbody alternatives before setting a date.

If you'd like a second opinion on a shortlist, send us what you're comparing and we'll tell you what we'd test in the demos.

Frequently asked questions

What is the best software for a Pilates studio?

The best fit depends on how you run classes. Reformer studios that assign specific machines should shortlist platforms with spot booking, such as Mariana Tek or Mindbody's Pick-a-Spot. Studios that want a branded app often look at Glofox or Arketa, and studios that sell workshops and teacher trainings alongside classes often look at Momence. Run the same hard scenarios in every demo before deciding.

Does Pilates studio software support reformer spot booking?

Some platforms do. Mariana Tek and Mindbody both offer Pick-a-Spot, zingfit has Spot Scheduling, and bsport lists spot selection among its features. Others don't document it clearly. If clients choose specific reformers at your studio, ask the vendor to demonstrate it, including what happens when a machine is out of service.

How much does Pilates studio software cost?

Many vendors in this category price by quote, so published numbers are scarce. Arketa publishes a solo plan at $49 a month billed annually plus transaction fees, and studio tiers by demo. Card processing usually adds more over a year than the subscription itself, so compare processing rates, add-ons and contract terms in writing before you compare headline prices.

Can Pilates software handle private sessions on specific equipment?

Some platforms can tie an appointment to both an instructor and a resource such as a Cadillac or chair, and block that resource for other bookings. Others only book the instructor, which leads to double-booked equipment. Ask to see a private booked against a specific apparatus in the demo.

Do I need a branded app for my Pilates studio?

Not always. If most clients book from Instagram or your website, a fast mobile booking page may serve them well. A branded app makes more sense if you sell on-demand classes, run challenges, or want push notifications under your own name. Several platforms offer branded apps on higher tiers or as a paid add-on.

How do I stop no-shows in reformer classes?

Set a clear late-cancel window, require a card on file, and let the software charge the fee or deduct the credit automatically. Pair that with automatic waitlist promotion so a cancelled spot gets filled, and stop auto-promotion a set time before class so promoted clients aren't hit with a fee they had no chance to avoid.
