For funded startups and growing operators
Custom software for when off-the-shelf tools stop fitting
A full custom build suits two kinds of buyer: a funded startup whose MVP has proven the idea, and a business whose off-the-shelf platform no longer fits how it runs. That might be a gym group replacing its management suite, or a coaching business licensing its method to other coaches. We plan it first, then build the mobile apps, web platform and admin as one system, with the integrations and dashboards the business depends on.
What you get
What’s included
Planning before the quote
A planning sprint or technical discovery sets the architecture, integrations, migration and release plan. The fee is credited toward the build.
Multi-platform delivery
Member or client mobile apps, a web platform and the admin surface your staff use every day, built to work as one product.
Integrations
Payments, wearables and the other systems the business already runs on, connected and tested against real use.
Dashboards and reporting
Revenue, bookings, attendance and retention in one view, across locations or product lines.
Migration from your current platform
Members, clients and their history moved off the old system, with the order and the handling of active subscriptions planned before the switch.
QA and release management
Device matrices, regression cycles and a written go/no-go call for each release during the build.
Technical leadership if you need it
A fractional CTO or product lead alongside the build, for companies that don't have one yet.
A good fit if
- Funded startups with an adopted MVP that now has to carry a business
- Gym and studio groups replacing an off-the-shelf suite for scheduling, memberships, billing and check-in
- Coaching businesses with coaches under them, licensing deals, or a method off-the-shelf tools can't model
- Operators whose seat fees and workarounds now cost more than owning the software
Not included
- Regulatory certification or legal sign-off. We build HIPAA-aware systems and name where specialists are needed
- Maintenance after handover, which runs as a separate monthly retainer
- Launch marketing, content production and ad spend
How it runs
From kickoff to handover
- Step 1
Decide whether to build at all
We check whether a dashboard over your current tools, or building the one missing piece, would solve the problem. We recommend replacing the platform only when the platform itself is the problem.
- Step 2
Plan and quote
A planning sprint or technical discovery produces architecture options, an integration map, a migration plan and a fixed quote.
- Step 3
Build in milestones
The platform arrives in stages you can review, with the admin surface and each integration tested as it lands.
- Step 4
Migrate and release
Data moves across, regression runs on every critical flow, and each release goes out with a go/no-go call.
- Step 5
Run it
Maintenance, ongoing QA and fractional technical leadership are available monthly once the platform is live.
Questions
Questions about Full custom build
How do we know we need a custom build and not a better setup of our current tools?
Often you don't need one. Multi-location reporting, for example, is usually solved with a dashboard over the systems you already run. Building makes sense when the platform itself is the problem: seat fees eating revenue, a method the software can't model, or a brand you can't put in the App Store under someone else's product. The first step checks which side you're on, before you spend anything on a build.
How is this different from an MVP build?
An MVP proves that real users adopt the core loop. A full build has to run the business: more platforms, deeper integrations, an admin surface your staff work in all day, migration from what you use now, and an architecture that holds up as you grow. Most products get here after an MVP. Businesses replacing an existing tool sometimes start here.
Can you move our members and billing off our current platform?
Migration is planned into every replacement build. The planning stage maps which data comes across, in what order, and how members on active subscriptions are handled during the switch.
Can you work with our in-house developers?
Yes. We can own delivery outright or work alongside your team with clear ownership boundaries. Fractional CTO and fractional product engagements are available if you need leadership as well as engineering.
Is a build this size still fixed price?
The quote is fixed against a written scope before work starts, and scope changes are quoted before they're built. Larger builds run in milestones, so you can track progress against that scope.
Can the platform handle health data?
We build HIPAA-aware, compliance-conscious systems and map sensitive data, claims and clinical boundaries during planning. We don't issue certifications or legal sign-off, so the plan names where a privacy, security or regulatory specialist needs to be involved.
